Position Title : Flagship Special Events & Tourism Coordinator

Location: Williamsburg Village Store - Williamsburg, Virginia

Reports to : Director, Sales & Operations

Job Summary:

The Special Events & Tourism Coordinator is responsble to creates and coordinate special events and tours for the Yankee Candle Williamsburg Village store to raise brand awareness, promote guest traffic and drive sales. Ensures proper implementation of all promotions and events, including scheduling, set-up, vendor and entertainment selection, etc. Assists in developing and executing strategic marketing plans relating to print, radio, social media, etc.

Job Responsiblities:

  • Creates and communicates master plans for events including; project management/action plan and marketing plans. Works collaboratively with support departments including the Village Tourism Manager to ensure flawless execution of special events.

  • Oversees event details such as schedule, location, vendor & entertainment selection, etc. Coordinates event staffing needs with appropriate manager. Provides training and direction to employees assigned to work events. Troubleshoots problems that arise. Oversees and leads activities at all events.

  • Acts as principal contact to vendors, tour organizers and transportation companies. Provides exceptional customer service. Negotiates terms and conditions of services and competitive pricing. Drafts contracts for approval from Legal for all events and activities.

  • Maintains and tracks the budget for events including advertising and marketing. Advises management of developments that may affect profit and costs.

  • Track and report on performance measures on special events & tours (increase in sales, ADS, transactions and specific merchandise); Participates in sessions following events in order to capture correctable feedback and identify key learnings for future success. Proposes new ideas to improve event planning and implementation process.

  • Direct responsibility for all marketing efforts related to events and tours including all marketing collateral, social media, grassroots marketing, etc. Works in accordance with Yankee Candle social media and brand-appropriate marketing initiatives.

  • Cultivate, build and maintain successful relationships with the media and community. Recognized as a brand ambassador while promoting the Flagship Stores as a tourism destination for group travelers and special events. Maintain and grow relationships at Chamber Events, Boards and Community involvement activities and meetings.

  • Partners with Management & Safety team to help ensure the safety of staff and guests during events.

Key Qualificaions:

  • Associates Degree or equivalent experience

  • 3-5 years experience in event planning and coordination

  • Strong written and verbal communication skills

  • Detail oriented and organized

  • Self motivated individuals with ability to work under pressure and multi-task

  • Solid problem-solving skills; and strong computer skills
