Title: Corporate Receptionist

Location: Minneapolis

Reports to : Office Service Manager

As our corporate receptionist your will be the first point of contact for visitors, guests and callers. We need you to greet and assists visitors, route telephone calls, and support the Jostens Corporate Office by performing various other administrative and clerical tasks, including backup Mailroom duties.

Receptionist duties

• Serve as the first point of contact for visitors, guests and callers.

• Answer phones and redirect calls as applicable

• Manage reception welcome monitor daily updates

• Manage guest login journal and visitor badges

• Manage security badge photos, distribution and cancellation

• Assist employees with meeting room accommodations

• Print out and deliver daily conference room schedules

• Monitor tenant training center calendars each week to confirm reservations

• Distribute paychecks – secure unclaimed checks

• Assist with the AP Check Requests for various invoices using Microsoft Excel

• Assist with cleaning and stocking break rooms

• Arrange courier service for local deliveries

• Assist with emergency evacuation procedures as needed

• Other responsibilities or projects as assigned

Mailroom duties

• Process and deliver all daily incoming and outgoing mail/shipments for Jostens corporate headquarters.

• As needed, retrieve/return offsite storage boxes. Monitoring online database of offsite document storage.

• Assist with cleaning office spaces as needed for exiting employees and preparation for new employees.

• Work with various departments on special shipping requests and conference room setups for meetings.

Required:

• Minimum of High School education or equivalent

• 2+ years of administrative/receptionist/mail room experience

• Professional appearance, presence, and attitude

• Excellent verbal and written communication skills

• Excellent customer service orientation

• Skill in operating office equipment, such as personal computer and system software, and including proficiency with Microsoft Outlook

• Telephone switchboard proficiency

• General knowledge of and ability to learn and operate mail systems (USPS & UPS)

• Ability to make sound decisions using available information while maintaining confidentiality

• Ability to pay close attention to detail and ensure accuracy of reports and data

• Ability to multi-task and work independently

• Ability to lift up to 25 pounds as needed for deliveries/shipments
